Welcome to Day 9 of 12 Days of Clarity & Creativity! Today, we’re diving into the power of simplifying your systems. Whether you’re a therapist, coach, creative, or business nerd, having streamlined processes can save time, reduce stress, and free up energy for what matters most—your clients, your creativity, and your goals.
Why Simplify? (With Authenticity)
Simplifying doesn’t mean cutting corners; it means creating efficient, effective processes that support your growth.
This topic came up in my own coaching call yesterday so I am going to be auditing my own systems this week. Let’s simplify and audit our systems together!
Benefits of Simplification:
Save Time: Making inefficient systems more efficient can help you move closer to your goals.
Reduce Decision Fatigue: Clear systems mean fewer choices and more authentic action.

3 Steps to Simplify Your Systems
Check Your Current Systems
Take a close look at the tools, platforms, and processes you’re currently using.
Ask yourself:
What’s working? Keep these but also assess if they can work better.
What’s not working? Identify bottlenecks or tools that aren’t adding value. I talk more about this below.
What’s missing? Are there gaps where a system or tool could help?
From My Experience:
When I started my coaching business, I realized I needed separate tools to connect with leads, build courses, and manage communities. I have made my website and my Substack the center of my marketing map and all other tools and platforms extend outward from that. You can read about that more here and an updated version here.
Consider Balanced Automation & Delegation
While automation can save time and streamline processes, remember that human connection is the heart of building your business. Using automation in a balanced way can enhance your efficiency without sacrificing genuine relationships. Overuse, however, might distance you from the very connections you’re aiming to foster.
Email Marketing Tools
Email marketing tools are invaluable for staying connected with your audience. I personally use Substack for my blog and podcast, which helps me share content and build community seamlessly. In addition, I rely on my email and CRM system to nurture leads and maintain consistent communication with clients.
One strategy I love is drafting emails and posts in advance and scheduling them to go out at specific times. This keeps my workflow organized and ensures steady engagement with my audience.
Automating Some Social Media Posts
Tools like Meta Business Suite can simplify social media scheduling, saving time and effort. However, it’s essential to periodically audit your posting strategy to see what’s working and where adjustments might be needed.
You all probably know this already but there is a way to post directly from Substack to other platforms and they give you a way to download memes to share too. I also like that you can select a piece of your post and ask Substack to generate a video of that portion to be read which is also great for expanding reach.
